**Weight class.** The GVWR from the door sticker, and whether the vehicle is loaded or empty. If loaded, roughly with what.
**Condition.** Does it roll and steer? Will the air system hold pressure so the brakes can release? Any fluid leaks?
**Configuration.** Straight truck, tractor with or without a trailer, van, bus. If a trailer is attached, whether it needs to come along or can be dropped.
**Location and destination.** Exact location, including the dock or gate if it is in a yard, and where the vehicle needs to go: your yard, a dealer or a repair shop.

A dead battery on a van or a box truck, a flat on a light commercial vehicle, an empty tank, or a vehicle stuck in a soft yard or a muddy shoulder may be handled without a tow. Many commercial breakdowns happen inside a terminal, a warehouse yard or a gated lot, not on a public road. Before the truck arrives, find out what the facility requires: a gate pass, an escort, a specific entrance, hours when outside trucks may enter, or safety gear for anyone on the property. Give the dispatcher the facility's name, the gate or door number, and a contact on site. A tow truck turned away at a gate costs everyone time.
If the vehicle is blocking a dock door or a lane inside the yard, say so. The priority may be to move it a short distance first, then tow it to the shop. Note whether the vehicle needs to be released by your company, a lessor or a rental agency, and have that authorization ready.
A loaded box truck or trailer changes the job. The weight affects which wrecker can lift it, and some loads cannot be towed safely without being transferred first. Perishable, high-value or regulated cargo may need a separate plan from your company. Tell the dispatcher what is on board and whether the receiver is waiting, so the job is planned around it rather than discovered on scene.

Write down the unit number, the plate, the VIN if your company needs it on the invoice, and the name of the person authorizing the tow. Commercial invoices often go through an approval process, and having those details right the first time avoids a delay on the paperwork after the vehicle is back in service.
